Who we are

REI Sales Coach is a product of Vantum Strategies LLC ("we," "us," "our"), based in Fort Worth, Texas. This policy explains what the REI Sales Coach browser extension and service collect, how the information is used, and the choices available to you. What the product does

REI Sales Coach is a tool for sales representatives. During a representative's own live phone call conducted through a supported browser-based dialer, the extension captures the call audio, transcribes it, and displays private on-screen coaching suggestions to the representative in real time. The coaching is visible only to the representative using the extension.

What we collect

• Call audio and transcripts. When a representative starts a coaching session, we capture and transcribe the audio of that call — both the representative's side and the other party's side — to generate coaching. Transcripts and information mentioned on the call (such as property details, price, or timeline) are stored to power coaching, diagnostics, and account features.
• Information about the other party to the call. To place a call, the representative may enter details about the person they are calling (for example, a name and phone number). That information, together with the captured audio of that person's side of the conversation, is transmitted to our service and stored as part of the call record.
• Account and authentication data. Representative and organization identity, login and session tokens, team membership, and seat or subscription information.
• Usage and diagnostic data. Per-call coaching events, timing and latency telemetry, and feedback the representative submits, used to operate and improve the service.
• Locally stored data. The representative's session token and interface preferences (such as the overlay display mode and position) are stored on their own device through the browser's extension storage.

How the extension transmits data

The browser extension sends data only to our own service (the REI Sales Coach gateway). It does not send data directly to any third party. Our service, in turn, uses trusted infrastructure providers (described below) to transcribe audio and generate coaching on our behalf.

How we use the information

We use this information to provide real-time coaching, generate per-call diagnostics and analytics for the representative's team, operate accounts and billing, and improve coaching quality. We do not sell personal information, and we do not use it for advertising.

Recording and consent

REI Sales Coach is used by sales representatives on calls to which they are a party. The representatives and the organizations that deploy REI Sales Coach are responsible for complying with all applicable call-recording, wiretap, and consent laws in the jurisdictions where they operate, including obtaining any consent required from other parties to the call. We provide the tool; the account holder controls when and where it is used and is responsible for using it lawfully.

Service providers

We share information only with service providers that help us operate the product, and only as needed for them to perform their function on our behalf. These include providers of speech-to-text transcription, AI-model processing, database and file storage, hosting, and payment processing. These providers process data under their own terms and are not permitted to use it for their own purposes. We do not sell data or share it for others' marketing.

Data retention

We retain call recordings, transcripts, and related data for as long as needed to provide the service and operate your account. We are actively building automated retention and deletion controls; until those are in place, retention periods are managed operationally. If you want data associated with your account removed, contact us at jack@vantumstrategies.com and we will process the request.

Your choices and rights

Depending on your location, you may have rights to access, correct, or delete personal information we hold. To make a request, email jack@vantumstrategies.com and we will respond and act on it as our processes allow. A representative can stop audio capture at any time by ending the coaching session, and can remove the extension to stop all local data storage.

Data security

We use industry-standard measures, including encrypted connections and access controls, to protect the information we hold. No system is perfectly secure, but we work to safeguard it.

Children

REI Sales Coach is a business tool. It is not directed to children and is not intended for anyone under 18.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the "last updated" date above.
